RECEPTIONISTS
JOB TITLE: Receptionists
REPORT TO: Field Officer
The company seeks to recruit a qualified and self-driven receptionist to be seconded to one of our Major clients to serve as the first point of contact for clients and visitors, manage front office operations, and provide administrative support that contributes to the efficient achievement of our client strategic objectives.
Education & Training:
Degree /Diploma in Business Administration, Office Management, Secretarial Studies, Public Relations, or a related field.
Experience:
Minimum of 2 years’ experience in a reception, front office, customer service, or administrative support role.
Knowledge:
In switchboard operations and visitor management systems,Knowledge of ERP systems and requisition processing is desirable, Emergency response – First Aid and Fire safety.

Professional and presentable appearance, Excellent customer service and interpersonal skills, Strong verbal and written communication skills, Professional telephone etiquette, Good computer skills, including Microsoft Word and Excel, Strong organizational and multitasking abilities, High integrity, confidentiality, and professionalism, Attention to detail and ability to work independently and Good problem-solving and time management skills.
KEY RESPONSIBILITIES:
- Receive, welcome, and direct visitors, clients, and guests in a professional and courteous manner.
- Manage the reception area and maintain a neat, organized, and professional environment.
- Operate the company switchboard and handle incoming and outgoing telephone calls efficiently.
- Demonstrate excellent telephone etiquette and ensure prompt handling of inquiries.
- Coordinate visitor registration and access using the Visitor Management System.
- Receive, record, and coordinate deliveries, parcels, and correspondence.
- Provide administrative support including filing, document preparation, record management, and report writing.
- Prepare and process requisitions through the organization’s ERP system.
- Manage official email correspondence and ensure timely responses and escalations where necessary.
- Maintain accurate visitor, and communication records.
- Support emergency response procedures, including First Aid and Fire Safety protocols.
- Perform any other duties as may be assigned from time to time.
